Support Services Supervisor PURPOSE The purpose of the Programs Support Administrator position is to ensure continuity of care within the agency by maintaining verbal and written communication.
This position will provide coordination among clients, staff, and community by assisting with client records, programming referrals, and agency initiatives.
MAJOR ACCOUNTABILITIES 1.
PROGRAM ADMINISTRATIVE SUPPORT:
Provides support to direct services to ensure that programs run efficiently and to optimize the agencies programming.

CLIENT RECORD MAINTENANCE:
Coordinate client record materials to ensure compliance and accuracy of records.
QUALIFICATIONS Minimum of a high school degree or equivalent Previous office experience preferred Experience in customer service strongly preferred KNOWLEDGE, SKILLS AND ABILITIES Excellent communication skills on the phone and in person Strong interpersonal skills Demonstration of professionalism Proven ability to multi-task within a crisis environment Strong computer skills and working knowledge of Microsoft Office and Excel; familiarity with other computer programs helpful Basic knowledge of clerical practices and procedures Ability to work independently as a team Team player DIRECT REPORTS:
NA RESPONSIBILITIES PROGRAMS ADMINISTRATIVE SUPPORT:
Provides support to direct services to ensure that programs run efficiently and to optimize the agency's programming Answer, screen, and schedule client requests for information and services Provide program administrative support for special projects, coordinated community responses, and committees Complete data entry of police reports and other programming specific information Coordinate requests for additional services for clients including transportation and thrift store vouchers Provide emotional support and appointment scheduling to clients seeking counseling and advocacy services Provide front desk coverage as needed CLIENT RECORD MAINTENANCE:
Coordinate client record materials to ensure compliance and accuracy of records.
Coordinate filing and exchange of Releases of Information Coordinate programming schedule Maintain client records, including the storage and destruction of client records Compile programming data including client taxi rides and basic hygiene distribution Update client records as needed PHYSICAL/ENVIRONMENTAL REQUIREMENTS This work is primarily sedentary, requiring communicating clearly, seeing, hearing, talking, concentrating, reading, and operating office equipment such as a computer, calculator, copier, and scanner.
Work is primarily in a climate controlled area with office equipment level of noise.
EVALUATION The performance of the Programs Support Administrator will be evaluated annually by the Support Services Supervisor according to pre-determined objectives and policies.
